Blocking spam in Google Drive

Brick wall with doorway also bricked up

This week's video was actually inspired by a spam file that was shared to me the other day in Google Drive, and I thought I would create a video about how I dealt with it. If you ever received files from a random stranger in Google Drive, this video walks you through exactly what you need to do to block a share:

Google Meet's new superpower

Google Meet window with Picture-in-picture feature enabled: two small video images are in the bottom right corner

Since the beginning of the pandemic Zoom has been ruling the video conferencing world, but did you know that your Google Workspace subscription includes a video conferencing tool at no extra cost? Yes, Google Meet has been the quiet workhorse for me and many small and large organizations throughout the last couple of years.

While Google Meet started out with fewer bells and whistles than its famous counterpart, it recently received many new features and its latest superpower is one I have been really looking forward to. It's called Picture-in-picture.

  • Picture-in-picture allows you to see your audience while presenting a window or a tab.

  • And as a bonus, when you are not presenting, it also allows you to see the meeting participants even if you need to click away from the meeting window. Not that you would ever want to multitask in a meeting, right? ;)

💎 Watch the video to see how to enable the Picture-in-picture feature.

❓ Have you tried it? Much easier than before, right?

Where, oh where has my Meet window gone?

Magnifying glass on top of a laptop's keyboard

Sometimes your Google Meet can go missing among all the other Chrome tabs and windows you might have open, and it can be hard to find it when you want to go back to your meeting window. In this week's video, I will show you a super quick tip for how to locate your ongoing meeting.

💎 Bonus tip: This same location will show you other actively playing audio or video as well. So, for example, when you realize in a call that one of your tabs is playing music or talking at you, you can use this method to find it quickly.

💎 Watch the video to see the details.

Search among your bookmarks!

Close-up of a stack of papers with yellow, orange, and pink bookmarks among the pages.

Bookmarks… it's great when they are handy, but I never have time to organize them. In my Ideal World I would have my bookmarks categorized into folders in a way that makes them really easy to find. But realistically, I now have so many bookmarks that even the best categorization would make it very very very slow for me to find them.

So now I bookmark without categorizing.

💎 Watch the video to see how I find them easily when I need them.

Time to tame your tabs!

Notebook that says "My brain has too many tabs open" is on a table with a beige tablecloth, surrounded by a cup of cappuccino, a small pumpkin, and two cupcakes.

I think on any given day I probably have 100+ tabs  ðŸ˜± open across my various Chrome windows and Chrome profiles. The different facets of my business and life have their own relevant pieces of information, and I often have to switch from one to another throughout the day. So it doesn't make sense for me to close tabs just to have to open them again soon after.

If you are a fellow Chrome user who also keeps a zillion tabs open, you'll be glad to hear that there are actually a few built-in tools that you can leverage to keep those tabs more organized.

💎 Watch the video for some tab organizing tips.

❓ If you learned a new way from these tips that will help you manage your work in Chrome, let me know in a Comment.

Who is this file shared with anyway? (cont'd)

Tag icon

Last time we talked about labeling files within the filename field to indicate the level of sharing. This is great for people who use the gmail.com version of Google files or if they are on the Google Workspace Business Starter edition.

But from Business Standard Edition up, you have the ability to use a more robust feature called Labels in Google Drive to fulfill the need to mark files that are shared externally.

💎 Watch the video to see how to set up the ability to Label file in Drive.

❓ Have you tried the badge labels or the standard labels? Which kind of labels do you like more. What do you use them for?

Who is this file shared with anyway?

Sharing icon (3-points)

"Wait, did I share this file with the client or is this the file with my internal-only scribblings?" Do you ever ask yourself this question? I used to… All. The. Time.

It's not immediately obvious from Google Drive or even from inside a file whether it's shared with people outside of your company, for example with clients – or whether it was meant for internal eyes only. And there is not even an option to search for externally shared files from the user interface of Drive. 🤔

In this week's video, I share a tip for how to make your life easier in this department.

💎 Watch the video to see the tip.

Next time, we'll talk about a new feature that's available in select Google Workspace editions that address this need, but in a bit of a different way.

❓ Have you tried this or a similar method? What works for you?

Sometimes It's the Little Things...

Keyboard with colorful buttons

Sometimes it's those little things that make a BIG difference, isn't it? This week, Google released the ability to use the trusty old CTRL C for copying, CTRL X for cutting, and CTRL V for pasting keyboard shortcuts in Google Drive. So you will be able to manage and organize your files so much more easily. For Macs, of course, you use the Command key instead of the CTRL key with these shortcuts.

💎 Watch the video to see the keyboard shortcuts in action.

The description of the video also contains a full list of shortcuts.

❓ Have you tried these keyboard shortcuts?

Small businesses, this video is for you!

Do You Need a Final Approval on Your File?

Wooden stamp with black inkpad on a desk.

One of the superpowers Google files have is their collaborative aspect: you can make suggestions, or you can comment on a file back-and-forth with colleagues, fine-tuning it until the file becomes finalized. But sometimes you need a bit more formal approval. Google recently introduced a new feature called Approvals to help with this.

(This feature is available in certain Google Workspace editions: https://workspaceupdates.googleblog.com/2021/11/request-and-review-formal-document.html)

💎Let me show how the Approvals feature works in this week's video.

❓ Have you tried this Approvals feature yet? What do you think about it? Drop me a Comment to share.
